Position Summary

Job Overview

We are seeking an Administrative Assistant to join the Dave Barr Community Centre's Team. You will be a customer service superstar, ensuring top-notch service to City employees, supervisors, potential employees, vendors and the team as a whole. You will also have the ability to adjust to the rapidly changing priorities in a busy, professional team.


The focus of the position is:

To maintain the efficient operation of the Dave Barr Community Centre and to provide support to the department and initiatives in various projects, logistics coordination and duties. (Childcare Services, Arena, Events and Programming)

To be ‘first point of contact’ by providing exceptional service on the phone, walk in, email and fax.


Main Responsibilities

Customer Service

Provides first-rate front line customer service (in-person, telephone, electronic), by providing direct information and assistance or by referring requests to other members of the team as necessary.

Promotes, utilizes and role models the City of Grande Prairie Guiding Beliefs and Employee Code of Conduct as standards for service in the organization.

Attends monthly team meetings for purposes of team alignment and development, and consistent approach.


Financial

All payment processing

Internal and external invoicing

Payroll data entry

Petty cash

Daily cash out

Cheque Requisition

Journal entries


Administrative Support

Provides administrative support for all areas of facility

Coordinate enrollment with Childcare Services Supervisors and maintain wait list of potential customers

Enter subsidy claims in a timely and accurate manner

Bookings of all facility functions for arena/dry floor, etc

Responds to service requests or redirects appropriately.

Prepares Power Point presentations, newsletters, documents, certificates, cards and similar word processing work.

Manages files, documents and paperwork with confidential or sensitive information

Ordering Office Supplies

Registering children and managing documentation according to licensing requirements

Maintaining class lists, daily sign in/out forms and ensuring registration does not exceed licensing allowable levels

Build programs in our system

Run reports for analysis of programs and bookings

Other duties are required by Supervisor


Qualifications

An Office Administration Certificate with a minimum of 2 years experience providing support to a team Excellent communication skills both written and verbal

Experience with the CLASS booking system an asset (new booking system will be implemented soon)Experience with Childcare Administrative role or holding a Childcare Certificate an asset

Good knowledge of Microsoft Office programs including Excel, Word, PowerPoint, and Outlook

Municipal experience an asset

Must know how to have fun and enjoy your position
